Your own system
Each company using PourTrack runs on its own separate cloud system, with its own database, files and sign-in list. One company can never reach another's records.
Data protection
Orders, customer details, truck locations, photos and signatures are business data. This page explains, in plain words, where PourTrack keeps them, who can see them, and what your company controls.
01 · Where it lives
Your records are never kept together with another company's.
Each company using PourTrack runs on its own separate cloud system, with its own database, files and sign-in list. One company can never reach another's records.
PourTrack is hosted on Google Cloud. Data is encrypted while it travels to and from your phones, and while it is stored.
People sign in with their own account, and we never see their passwords. A new account can do nothing until your admin approves it.
Before any change to who-can-see-what goes live, we test it automatically against every role, so an update can't quietly open up your data.
02 · Who sees what
Enforced by the system itself, not just hidden on screen.
Delivery photos and signatures follow the same rules: only approved accounts can add them, and a customer sees only the receipts for their own deliveries.
03 · Records you can rely on
A delivery record is only useful if everyone can trust it later.
After a load is delivered, its DO number, truck, driver and quantity are locked. Not even an admin can quietly change them.
The DO photo taken at the plant is kept exactly as it was taken and can't be swapped for a different one later.
Dispatch, arrival, slump, signature and sign-off are each stamped with who did it and when, and that history can't be deleted.
A driver's phone shares its location only while a delivery is in progress. It stops when the job ends. We don't track drivers on their own time.
04 · Your control
You decide who gets in, what is kept, and whether we can help from inside.
Your admins see every account with access and when it was last used. Anyone can be blocked or removed in one step, such as a driver who has left.
On request, your office can download one customer's data as a file, or delete their personal details. Delivered loads keep the job record (grade, quantity, site) but lose the person's phone, email and login.
Delivery records are kept for as long as your company uses PourTrack. Your admin can set how long records and location history are kept, and old data is cleared only if your admin switches that on.
Our support account has admin access so we can install updates and fix problems. It shows up in your list like any other account. Your own admins can switch our in-app access off, and back on when they need help.
The switch covers access through the app. The owner of your cloud account keeps behind-the-scenes access to it. We can tell you exactly who that is for your company.
05 · What we don't do
Things your data is never used for.
Under Malaysia's Personal Data Protection Act 2010, your company decides what personal data is collected, and PourTrack processes it on your behalf. PourTrack is designed to support those duties. It is not a legal certification, and you should still follow your own record-keeping obligations. Full details: Privacy policy · Dasar Privasi (BM)
